There are three different methods of handling Clerk processing on SELLmatix that can be used in different types of retail operation. These are:-

  • Clerking on is not used. This is most often the case where the store owners are the only people that operate the Point of Sale. In this case, no security is provided by SELLmatix Clerking functions.
  • Clerking on is required. This is typically used where one person uses the POS for an entire shift, and they are responsible for the monies in the cash drawer at the end of their shift. In this case, you can specify which functions the Clerk is allowed to perform in the Clerk Maintenance Screen. If other functions need to be performed, a supervisor is called, they log in to perform the functions require, and then the normal clerk is logged on again.
  • Clerking on is required at the beginning of each transaction. This is used where a number of different staff process sales during a shift using the same POS terminal. In this case, it is possible to print shift and day X/Z Reads for each Clerk showing the totals they have processed, and different permissions can be given to each clerk using the Clerk Maintenance Screen. However, none of the clerks can be held strictly accountable for the balance cash drawer, because if change is give incorrectly, there is no way of knowing which clerk made the error.

To enable clerks to log on you can:-

  • Set up a Clerk button or key, and the Clerk can enter their Clerk Number and the press the Clerk Button, or
  • You can print Clerk Cards (with a photo if you wish) with a Clerk Code Prefix and the Clerk Code printed as a barcode on the Clerk Card, and then the clerk scans their Clerk Card with the barcode scanner to log in.

    You print Clerk Cards from the Print Menu of SELLmatix Control. This is covered in more detail in Printing Clerk Cards

    You can specify the prefix that tells SELLmatix POS that the barcode scanned is a Clerk Code instead of a product barcode in POS from the Tools->Barcode Scanner menu option and there is more information on configuring this in Barcode Scanner Configuration

    You can change the layout and appearance of Clerk Cards by modifying the Clerk Card Format Files. This is described in Clerk Card Formats
